A leading South African law firm embarked on a major operational shift to adopt Microsoft Teams as its unified communications platform for both back-office and remote workers. With 900 users distributed across legacy Cisco and Teams platforms, the firm required a complete migration and audiovisual upgrade across their entire real estate portfolio.
To execute this complex transition, they partnered with Omega Digital, the GPA team in South Africa. The project spanned two years and was executed across four distinct phases in their Johannesburg and Cape Town locations. The mandate was to deliver a flawless, highly equitable meeting experience across spaces ranging from intimate four-seat rooms to massive 32-seat executive boardrooms.
Before the upgrade, the firm struggled with severe hybrid imbalances that disrupted its daily legal operations. Remote workers suffered from poor audio and video quality, which limited engagement with essential resources and created critical visibility issues across all meeting spaces.
In the legal sector, where clear communication and nuanced expressions are paramount, these technological friction points created a highly stressful environment for attorneys and clients alike. Additionally, catering to the strict procedural requirements of arbitration sessions proved incredibly difficult. Managing the distinct physical separation required for an arbitrator, claimant, respondent, counsel, and witnesses was nearly impossible with their existing, rigid technology setup.
To resolve these imbalances, the engineering team designed and deployed enhanced Microsoft Teams Rooms customized for every specific room type. The core focus was on implementing front-row layouts, intelligent cameras, and spatial audio to ensure remote participants felt fully integrated into the physical space. The design also factored in critical infrastructure upgrades, addressing room acoustics, lighting, networking, and control interfaces.
Key Deliverables:
- Enhanced Teams Rooms: Deployment of front row layouts, intelligent cameras, and spatial audio to ensure equitable experiences for remote participants
- Bespoke Arbitration Environments: Highly specialized conference spaces featuring movable furniture to accurately accommodate a judge, claimant, respondent, counsel, and witnesses
- Interactive Training Spaces: Flexible rooms equipped with interactive whiteboards on the primary displays, allowing users to annotate directly within the video platform
- Scalable Room Standards: Standardized technology patterns covering a massive range of spaces, from intimate four-seat rooms up to large 32-seat executive spaces
- Comprehensive Infrastructure: Complete environmental upgrades encompassing acoustics, lighting, networking, and AV controls to perfectly support the new hardware
Project Execution:
Delivering this overhaul required managing a highly diverse set of room requirements and stakeholder expectations. The integration team successfully rolled out five large multipurpose venues, multiple Jabra Panacast rooms, twelve 20-seat rooms, and several 32-seat executive spaces.
To guarantee absolute reliability for these high-stakes legal environments, the physical integration was backed by a comprehensive service level agreement. This strict support contract features a four-hour response time, readily available backup and loan stock, a dedicated managed service for the collaboration experience including a repair-and-replace service, and twice-yearly preventative maintenance managed directly by a Service Delivery Manager.
The transformation was a resounding success, completely revolutionizing how the firm handles internal collaboration and external legal proceedings. By delivering exceptional craft and superior solution design, the GPA team proved its capabilities and ousted the incumbent IT provider that had managed the entire estate for years.
The flawless execution of these initial phases proved the immense value of a properly engineered unified communications strategy. The robust service level agreement was renewed at a higher, more lucrative tier, ensuring the firm’s critical meeting infrastructure remains permanently optimized.
As a direct result of this project’s phenomenal success, the law firm now exclusively partners with GPA South Africa for all current and future integration needs. The client was so impressed during project debrief sessions that they formally committed to skipping future RFP processes for upcoming phases, cementing a highly trusted, long-term relationship.
This project demonstrates that when AV technology is engineered to support complex, high-stakes human workflows perfectly, it builds unbreakable trust and delivers phenomenal corporate value.
